This policy describes how VNV (operating as Logixpace) collects, uses, and protects information in connection with the Logixpace website, admin console, and employee mobile app. It should be read together with our Terms & conditions.
Who we are & scope
The Services are provided by VNV for subscribing organisations and their authorised users. If you use the employee app or are listed in an organisation's account, your employer is usually the controller of your work-related personal data; we process that data on their behalf to deliver marketing and related features. If you are a visitor to our website or a billing contact for a subscription, we may act as controller for certain account and marketing-related data as described below.
Information we collect
From organisations & admins
May include company name, subscription and billing contacts, business email, and content entered in the admin console (including employee roster fields your organisation chooses to store).
From employees & app users
May include identifiers (e.g. employee ID, work email, name), credentials and authentication events (password, MPIN where used), marketing events (punch times, status), and—when your employer's rules require it—location at the time of punch.
Technical & device data
Device type, operating system, app version, push notification tokens (e.g. for Firebase Cloud Messaging when enabled), IP address, and logs used to operate, secure, and debug the Services.
Website visitors
When you browse our public pages, we may collect standard web data such as IP address, browser type, and pages viewed, as needed to run and improve the site.
How we use your information
We use personal data to:
- provide, host, and improve the Services (registration, marketing, notifications, reporting);
- authenticate users and protect accounts and infrastructure;
- communicate about the subscription, security, or support;
- comply with law and respond to lawful requests;
- analyse aggregate or de-identified usage to improve reliability and product experience where permitted.
We do not sell your personal information. We do not use employee location or marketing data for third-party advertising.
Sharing & subprocessors
We share data with service providers who assist us (for example cloud hosting, email delivery, error monitoring, or push infrastructure such as Google Firebase) under contractual safeguards. Those providers process data only as needed to perform services for us and in line with their policies.
We may disclose information if required by law, to protect rights and safety, or as part of a business transfer subject to appropriate notices where required. Your organisation may access employee data they administer through the Service as permitted by their policies.
Location & marketing
Location is collected only when needed for your organisation's marketing configuration and only for operational purposes tied to punch-in or punch-out. You can review or change location permission in your device settings; turning it off may limit location-dependent features.
Security & retention
We use commercially reasonable measures, including encryption in transit (such as HTTPS/TLS) for communication between clients and our services. No system is perfectly secure; please protect your credentials and report suspected incidents to your employer and, where appropriate, to us via Contact.
We retain information for as long as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. Retention specifics may depend on your organisation's settings and applicable law.
Your choices & rights
Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or object to certain processing, or to lodge a complaint with a supervisory authority. Employees should contact their organisation's administrator for many workforce requests; you may also contact us and we will assist or forward requests as appropriate.
Push notifications can often be disabled in device or app settings. Marketing communications, if any, will include a way to opt out where required by law.
Children's privacy
The Services are intended for workforce and business use and are not directed at children. We do not knowingly collect personal information from children. If you believe we have collected data from a child, please contact us so we can take appropriate steps.
Changes & contact
We may update this Privacy Policy from time to time. We will post the revised policy on this page and may use other reasonable means to notify you of material changes. Continued use after the effective date may constitute acceptance where permitted by law.
