Privacy policy & information we process

VNV (operating as Logixpace) operates the Logixpace marketing services, including this website, the Logixpace admin web console, and the Logixpace employee mobile application (together, the "Service" or "Services"). We use information to provide, secure, and improve the Services. By using the Services, you agree to the practices described in these Terms and any privacy notice your organisation provides to you as an employee.

Types of information

Depending on your role and how your organisation configures the Service, information may include:

  • Organisation & contact data: company name, business email addresses used for subscription, sign-up, or support, and similar account details.
  • Workforce / employee records: identifiers such as employee ID, work email, name, and other fields your employer enters in the admin console for marketing and operations.
  • Credentials & session data: usernames, authentication events, MPIN usage patterns as needed for security, and session or security tokens for logged-in access.
  • Marketing & location (when enabled): punch timestamps and, if your employer's policy requires it, approximate or precise location at the time of punch (see Location section below).
  • Device & technical data: device type, OS, app version, push notification tokens (for Firebase Cloud Messaging where enabled), and diagnostic or log data to operate and troubleshoot the Service.
  • Website usage (if applicable): IP address, browser type, pages viewed, and similar data when you browse our marketing or support web pages.

Your employer is typically the controller of employee personal data processed for workforce purposes; we process such data on their instructions as part of providing the Services.

How we use data & third-party services

Use of information

We use collected information to:

  • provide, operate, and maintain the Services (including admin registration, marketing, and WFH workflows);
  • authenticate users and protect accounts (password, MPIN, domain tenancy);
  • send operational notifications when your organisation enables push messaging;
  • detect, prevent, and address technical or security issues;
  • comply with law and respond to lawful requests;
  • communicate with subscribing organisations about subscription, support, or important changes.

Third-party platforms

The Services may integrate or depend on subprocessors, for example: Google Firebase / Firebase Cloud Messaging for push notifications; hosting or infrastructure providers chosen by VNV or your organisation; and email or messaging channels used for support. Those providers process data under their own terms and privacy policies where applicable. We do not control third-party sites linked from our website; review their policies before sharing information.

Disclosure of data

Legal requirements

We may disclose information where we believe in good faith that disclosure is necessary to:

  • comply with a legal obligation, court order, or regulatory request;
  • protect the rights, property, or safety of VNV, our users, or the public;
  • investigate possible wrongdoing in connection with the Services;
  • enforce these Terms or agreements with subscribing organisations.

Service providers

We may share data with vendors who perform services on our behalf (hosting, analytics, customer support tools). They may access personal data only to perform those services and are expected to protect it appropriately.

Security of data

We use commercially reasonable safeguards, including encryption in transit (such as HTTPS/TLS) between apps, browsers, and our or your designated servers, and organisational measures appropriate to the nature of the Services.

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. Subscribing organisations must protect admin credentials and only grant access to authorised personnel. Employees should protect passwords and MPINs and report suspected unauthorised access to their employer and to us via contact where appropriate.

Accounts, acceptable use & subscriptions

Organisations subscribe by plan (e.g. headcount band). Commercial terms are agreed between the organisation and VNV (or a partner). Employees generally access the mobile app under their employer's subscription; access may end if employment ends or the subscription lapses.

You agree not to misuse the Services, including by:

  • attempting unauthorised access, probing, scraping, or disrupting systems;
  • submitting false marketing or impersonating others;
  • sharing credentials or circumventing authentication;
  • using the Services in violation of law or your employer's policies.

Refunds, cancellation, and billing disputes, if any, are governed by the agreement between your organisation and VNV unless otherwise required by applicable consumer law.

Location & marketing features

The Android app may request fine and coarse location when your organisation's marketing rules require location context for punch-in or punch-out. Location is used for that operational purpose and related processing on your organisation's backend—not for unrelated advertising by us.

You should use location features only as authorised by your employer and applicable law. Do not use the Services to stalk, harass, or invade anyone's privacy. GPS accuracy can vary with device, network, and environment; we do not guarantee perfect accuracy.

You may control location permission through your device settings; disabling it may limit features that depend on location.

Changes to these terms & contact

We may update these Terms by posting a revised version on this page. Material changes may also be communicated through the Services or your organisation. Continued use after changes constitutes acceptance where permitted by law.

The Service is intended for workforce use; it is not directed at children. Organisations should not register children in violation of law.
